Report Title: Extension #76-665-7 with Metropolitan Van and Storage Inc.
Recommendation: Recommendation of the County Administrator
RECOMMENDATIONS:
APPROVE and AUTHORIZE the Health Services Director, or designee, to execute on behalf of County Contract Extension #76-665-7 with Metropolitan Van and Storage Inc., a corporation, to amend Contract #76-665-3 (as amended by #76-665-5), to extend the termination date from September 30, 2026 to March 31, 2027 to continue providing moving and storage services of heavy furniture and equipment at Contra Costa Regional Medical Center (CCRMC) and Contra Costa Health Centers, with no change in the payment limit of $800,000.
FISCAL IMPACT:
Approval of this Extension will not result in a change to the original budgeted expenditure of up to $800,000 and is funded 100% by Hospital Enterprise Fund I revenues. (No rate increase)
BACKGROUND:
CCRMC and Contra Costa Health Centers have been contracting with Metropolitan Van and Storage Inc. since October 2019 to provide moving and storage services of furniture and equipment as required by staff. Metropolitan Van and Storage Inc. is a Small Business Enterprise (SBE).
On June 13, 2023, the Board of Supervisors approved Contract #76-665-3 with Metropolitan Van and Storage Inc., in an amount not to exceed $800,000, to provide moving and storage services of furniture and equipment for CCRMC and Contra Costa Health Centers, for the period October 1, 2023 through September 30, 2026.
On January 16, 2024, the Board of Supervisors approved Contract Amendment #76-665-5 to modify the rates and services with no change in the original payment limit of $800,000 with no change in the original term.
Contractor’s services are needed to move heavy, large-quantity items around the hospital and health centers and also to use the contractor’s storage facilities to store equipment and supplies that CCRMC and Health Centers are unable to store on their sites.
Approval of Contract Extension #76-665-7 will allow the Contractor to continue to provide moving and storage services for heavy furniture and equipment while a new competitive solicitation process is conducted through March 31, 2027.
CONSEQUENCE OF NEGATIVE ACTION:
If this Extension is not approved, CCRMC and Contra Costa Health Centers will not have an authorized contractor to provide moving and storage services for heavy furniture and equipment, potentially disrupting critical facility operations and patient care environments.
