Report Title:                     Contract with CDW Government LLC

Recommendation of the County Administrator Recommendation of Board Committee

RECOMMENDATIONS:

APPROVE and AUTHORIZE the Chief Information Officer, or designee, to execute a contract with CDW Government LLC in an amount not to exceed $775,000 to provide Ergotron CareFit Slim carts, Tangent computers, and professional services to install the carts at the Contra Costa Regional Medical Center and Health Centers, and a six (6) year Ergotron maintenance agreement, for the period of April 1, 2024, through March 31, 2030.

FISCAL IMPACT:

The cost for this will be charged to the Hospital Enterprise Fund I.

BACKGROUND:

In January of 2023, the Health Services Department convened over 80 Registered Nurses to evaluate seven (7) different Workstation on Wheels (WOW) carts from three (3) different vendors to determine the best fit for use within the Contra Costa Regional Medical Center and Health Centers. An overwhelming 70% of the evaluators ranked the Ergotron CareFit Slim carts as their number one choice. The Tangent computer was selected by the Health Services Department several years ago as it is specially designed for healthcare environments and is UL/IE60601-1 certified. This certification is crucial for ensuring the safety and effectiveness of medical equipment that is used by patients or that is used near them by medical staff. CDW Government provides a comprehensive system, the slim cart and the Tangent PC at a cost based on the Omnia contract number 201811-01, which provides a 10-20% cost savings to the County.

The contract includes a modification to the Limitation of Liability section of the General Conditions which caps the liability of the Contractor (from any cause) at the dollar amount paid by the County for the services that give rise to the claim.

CONSEQUENCE OF NEGATIVE ACTION:

If this is not approved, the medical staff of the Contra Costa Regional Medical Center will not have the equipment necessary to perform services to patients in an effective or efficient manner.
