Report Title: Purchase Order with CDW Government LLC

RECOMMENDATIONS:
APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute on behalf of the Health Services Director, a purchase order with CDW Government LLC, in an amount not to exceed $2,400,000 for the purchase of computer equipment for the period from July 1, 2024 through June 30, 2027.
FISCAL IMPACT:
Approval of this action will result in expenditures of up to $2,400,000 over a three-year period and will be funded by Hospital Enterprise Fund I revenues.
BACKGROUND:
CDW Government LLC provides Contra Costa Health (CCH) Information Technology (IT) Unit with computer equipment including scanners, printers, projectors, laptops, mobile devices, and minor computer parts. The hardware will be used for multiple Health Services Divisions including the Hospital, Clinics, Mental Health, Public Health, and Administration buildings.
On May 11, 2021, the Board of Supervisors approved agenda item C.65 to execute a purchase order with CDW Government LLC in the amount of $790,000 to purchase scanners, printers, projectors, laptops, tablets, monitors, and minor computer parts for the period from July 1, 2021 through June 30, 2024. The purchase order expended sooner than budgeted due to other department utilization, requiring additional one-time purchase orders. Approval of this action will allow for the creation of a consolidated purchase order to minimize the need for one-time purchase orders and simplify tracking efforts.
CDW Government LLC is an authorized reseller under the California Department of General Services - Procurement Division participating agreement with HP, Inc. and provides government discounted pricing via Participating Addendum Number 7-23-70-55-04 and Minnesota NASPO ValuePoint Master Agreement 23011 with HP Inc.
CONSEQUENCE OF NEGATIVE ACTION:
If this item is not approved, the inability to purchase additional equipment could significantly impact the productivity of the Health Services Department, affecting the delivery of essential patient care services across hospital facilities, health clinics, and other divisions. Furthermore, the performance of CCLink Electronic Health Record applications would be hindered, operating below their optimum capacity.
