Report Title:                     Amendment No. 3 with Metropolitan Van and Storage Inc., a California Corporation, Countywide.

RECOMMENDATIONS:

APPROVE and AUTHORIZE the Public Works Director, or designee, to execute a contract amendment with Metropolitan Van and Storage Inc., effective June 24, 2025, to increase the payment limit by $8,000,000 to a new payment limit of $15,000,000 and extend the term through December 31, 2027, for on-call moving services at various County sites and facilities, Countywide.

 

FISCAL IMPACT:

Initially funded through the Facilities Maintenance Budget but will be charged out to the Departments requesting the services.

 

BACKGROUND:

The Public Works Department utilizes contractors for moving, bulk storage, haul away, recycling, confidential shredding, personal protective equipment storage and office landscape partitional furniture (OLP) install and reconfiguration services. These services are provided as needed for various departments, Countywide.

 

Government Code Section 25358 authorizes the County to contract for maintenance and upkeep of County facilities. Originally bid on BidSync #2207-581, Metropolitan Van and Storage Inc. was the contractor awarded for these on-call moving, bulk storage, OLP and haul-away services. The Public Works Department originally awarded a three (3) year contract for $7,000,000 with the term January 1, 2023 through December 31, 2025.

 

Amendment No. 1, effective January 1, 2023, updated the rate table included in the Service Plan. Amendment No. 2, effective April 1, 2024, added an additional rate table to the Service Plan. Facilities Services is requesting Amendment No. 3 to be approved, extending the contract term an additional two years through December 31, 2027 and increasing the payment limit to $15,000,000.

 

CONSEQUENCE OF NEGATIVE ACTION:

If this contract amendment is not approved, the remaining funds will be depleted, and this contract will expire by the end of this year. As a result, on-call moving, bulk storage, OLP and haul-away services with Metropolitan Van and Storage Inc. will be discontinued, and future tasks will not be completed.
