Report Title: Payment for Scheduling Subscription provided by WellSky Corporation

RECOMMENDATIONS:
APPROVE and AUTHORIZE the Auditor-Controller, or designee, to pay WellSky Corporation $9,564 for the WellSky Scheduling Subscription for the period from April 1, 2024 through January 31, 2025, as recommended by the Health Services Director.
FISCAL IMPACT:
Approval of this action will result in a one-time expenditure in an amount not to exceed $9,564 and will be funded by 50% State California Childrens Services (CCS) Fund and 50% General County Funds. The CCS Program is mandated by the Welfare and Institutions Code and the California Code of Regulations (Title 22, Section 51013).
BACKGROUND:
WellSky (formerly known as Mediserve) is an online portal used by California Children's Services (CCS), specifically the Medical Therapy Program (MTP). MTP clerks use WellSky to schedule appointments for clients, client family members or guardians. This product has been used since 2015 and the current subscription term expired January 31, 2024. The MTP went live with EPIC March 1, 2024. EPIC has its own calendar with scheduling functionality, but we are renewing with WellSky for another year during the transition phase.
Public Health sent a cancellation request to WellSky Corporation so that the scheduling subscription will not renew after January 31, 2025. The current purchase order #24759 with WellSky Corporation had a term expiration of March 31, 2024. Public Health intends to extend the WellSky Scheduling Subscription during the transition to EPIC, and is requesting authorization of payment to WellSky Corporation for their scheduling subscription through January 31, 2025.
CONSEQUENCE OF NEGATIVE ACTION:
If this action is not approved, the WellSky Corporation scheduling subscription will not be available while transitioning to EPIC.
