Recommendation of the County Administrator Recommendation of Board Committee

 

RECOMMENDATIONS:

 

APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute on behalf of the Chief Information Officer a purchase order with Ironwall 360 in an amount not to exceed $12,000, subject to the terms of Ironwall 360’s Service Agreement, for the purchase of IronWall Signature Online Privacy Service, a web-based service to protect the personally identifiable information of employees and their families for the period of  July 15, 2026, through July 14, 2027. 

 

FISCAL IMPACT:

 

The cost of this product is included in the Department’s FY 26-27 budget (100% User Departments).

 

BACKGROUND:

 

As a request submitted by the County Administrator’s Office and the Board of Supervisors, this renewal supports elected and appointed officials who are at heightened risk of being targeted online or in person due to their job responsibilities. The substantial amount of personally identifiable information (PII) available online can pose safety risks for these employees. It is essential that their identities remain protected to reduce the likelihood of threats, retaliation, or the inappropriate use of their information by individuals who may have concerns related to the nature of the employees’ work.

 

360 Civic’s IronWall Online Privacy Service has a proven ability at finding and removing PII from online databases, and to maintain that protection on an ongoing basis. Privacy status reports are updated in real-time and available 24/7 via their custom and secure online portal. A detailed onboarding process, including training on how to use and tailor the portal to the specific employee and their family, is provided, as well as ongoing support. A total of 100 employees and their families are protected from improper use of their PII.

 

Ironwall’s Terms of Service include a limitation of liability as well as an indemnification provision from the County to Ironwall for claims arising from the County’s use of Ironwall’s service.

 

CONSEQUENCE OF NEGATIVE ACTION:

 

If this request is not approved, the County’s elected officials may be exposed to unnecessary risk due to the potential availability of PII to the public.
