Report Title:                     Purchase Orders with Inside Source, Inc.

Recommendation of the County Administrator Recommendation of Board Committee

RECOMMENDATIONS:

APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute on behalf of the District Attorney, two purchase orders with the Inside Source, Inc., (dba Sam Clar Office Furniture) in an amount not to exceed $250,993 for furniture, fixtures and equipment for the District Attorney’s Pittsburg Office located at 3890 Railroad Avenue.

FISCAL IMPACT:

The funds for the two purchase orders are included in the District Attorney’s FY25-26 Departmental Budget. The first purchase order is with Allsteel State MSF in the amount of $63,858. The second purchase order is for the Ancillary product under the Allsteel State Ancillary in the amount of $187,135.

BACKGROUND:

On December 17, 2024, the Board of Supervisors approved and authorized the Public Works Director to execute a lease for approximately 4,699 square feet of office space located at 3890 Railroad Avenue in Pittsburg for use by the District Attorney’s Office for a term of 15 years with renewal options.  The office space will serve as the Pittsburg branch for the District Attorney’s Office to continue to provide necessary and ongoing legal prosecution services for the County in the Pittsburg courthouse.  The District Attorney’s Office is seeking approval to purchase the necessary furniture, fixtures and equipment for the new Pittsburg branch to support the departmental employees that will occupy the new office space.

Contra Costa Purchasing Services entered into a Participating Addendum with Inside Source, Inc. (dba Sam Clar Office Furniture). Products are guaranteed through a Master Contract awarded by California Department of General Services Cooperative Program. One of the two purchase orders seeking board approval under this action is for the MSF product under the Allsteel State MSF Contract 1-22-71-52 in an amount of $63,858. The second purchase order is for the Ancillary product under the Allsteel State Ancillary Contract 1-22-71-52 in an amount of $187,135.

CONSEQUENCE OF NEGATIVE ACTION:

If the Board does not approve the purchase orders, there will be delays in opening the new Pittsburg Branch for the District Attorney’s Office as it would not have the necessary furniture to allow the department to use the new space.
