RECOMMENDATIONS:

 

APPROVE and AUTHORIZE the Chief Information Officer, or designee, to execute an ordering document with Oracle America, Inc. under the existing Oracle Master Agreement to increase the payment limit by $120,000 to a new payment limit of $1,825,000 for PeopleSoft licenses, with no change to the term ending June 30, 2026  

 

 

FISCAL IMPACT:

 

The costs for these services are billed in quarterly installments and budgeted annually as part of the PeopleSoft project. 100% User Departments.

 

BACKGROUND:

 

On November 17, 2015, the Board authorized the Chief Information Officer to enter into an Oracle Master Agreement (US-OMA-QT5714570) with Oracle America, Inc. and subsequently on April 20, 2021, the Board approved Amendment No. 1 to the Oracle Master Agreement to extend the term through November 27, 2025. This Master Agreement authorizes the County to place orders with Oracle upon receipt of an ordering document. In June of 2021, the Board authorized a PeopleSoft Technical Support Services Renewal ordering document which provided for support services, software updates, and licenses for a five (5) year term through June 30, 2026. 

 

The ordering document being authorized by this Staff Report is for an increase to our PeopleSoft software license count. A recent review of the County’s license entitlement indicates that the County has surpassed the allotted license count since the last True-Up Expansion in 2014.  

 

Licenses for PeopleSoft Enterprise Human Resources, Benefits Administration and Succession Planning will increase by 1,120 licenses from 11,200 to a new total license count of 12,320. The license counts for PeopleSoft Enterprise Payroll and ePay will increase by 800 licenses from 11,200 to a new license count of 12,000.

 

CONSEQUENCE OF NEGATIVE ACTION:

 

If this ordering document is not approved, the County will be out of compliance with the PeopleSoft License and Services Agreement.
