RECOMMENDATIONS:

APPROVE and AUTHORIZE the Purchasing Agent, or designee to execute on behalf of the Fire Chief, a purchase order with CDW-G, an authorized reseller, in an amount not to exceed $245,380 for the purchase of Microsoft Server and SQL Licenses 2025 from CDW-G as part of the ongoing communication building remodel project. 

 

 

FISCAL IMPACT:

Budgeted. 100% CCCFPD EMS Transport Fund

 

BACKGROUND:

To ensure the continuous, secure operation of mission-critical systems like Computer-Aided Dispatch (CAD) and patient records, the District must acquire a Microsoft Windows Server 2025 and an SQL Server 2025. Upgrading the District’s data center backbone to Windows Server 2025 offers improved cybersecurity and better processing power, which are crucial for supporting our first responders and reducing vulnerabilities caused by outdated software. At the same time, deploying SQL Server 2025 enhances our data repositories by providing advanced encryption and “Always On” high availability for uninterrupted access by dispatchers and mobile units, while cost-effectively supporting secondary administrative applications. Ultimately, this essential IT upgrade guarantees ongoing vendor support, ensures strict compliance with data privacy regulations, and creates a highly resilient infrastructure capable of meeting both current and future operational needs.

 

This request includes approval for procurement to utilize a participating addendum with OMNIA Mesa 2024056-01 (2024056-01) for Information Technology Solutions Products and Services, and to be conducted via CDW-Government LLC, an approved reseller of the required materials.

 

This purchase is directly related to the communications center remodel and new server room/data center.

 

CONSEQUENCE OF NEGATIVE ACTION:

If this item is not approved, the Fire District will face difficulties in ensuring ongoing vendor support, meeting regulatory data privacy requirements, and building a highly resilient infrastructure that can meet current and future operational needs.
