RECOMMENDATIONS:

 

APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute on behalf of the Employment and Human Services Director, a Purchase Order with General Datatech for the purchase of Rubrick, Inc.’s Microsoft 365 in an amount not to exceed $75,999, for the period September 25, 2024, through September 24, 2025.

 

FISCAL IMPACT:

 

54% Federal, 38% State, 8% County; all of which is budgeted in FY 24/25.

 

BACKGROUND:

 

The Employment and Human Services Department (EHSD) is seeking to renew its subscription to the department’s current backup services for its Microsoft M365 environment. This includes backup for email, Onedrive and Sharepoint Online. This vendor was selected per procurement requirements outlined in Administrative Bulletin 600.3.

 

The Board previously approved a Purchase Order on May 21, 2019, (C.77) with General Data Tech (GDT) for Rubrik services in conjunction with DoIT. EHSD evaluated new vendors to provide a replacement server backup solution. Rubrik was recommended as the new county standard. EHSD adopted the DoIT standard for performance, reliability, and cost effectiveness.

 

Rubrik, Inc.’s End User License Agreement contains an indemnification provision from the County to Rubrik, as well as a limitation of liability provision capping damages at the amount of fees paid in the twelve (12) months prior any claim arising.

 

CONSEQUENCE OF NEGATIVE ACTION:

 

The County will be at risk of not meeting standards for performance, reliability, and cost effectiveness.

 

CHILDREN'S IMPACT STATEMENT:

 

This purchase order supports all five of the community outcomes established in the Children's Report Card: (1) "Children Ready for and Succeeding in School"; (2) "Children and Youth Healthy and Preparing for Productive Adulthood";(3)"Families that are Economically Self-Sufficient"; (4) "Families that are Safe, Stable and Nurturing"; and (5) "Communities that are Safe and Provide a High Quality of Life for Children and Families,” by supporting staff working directly with families and children.
