Report Title: Purchase Order with Air Products Group, Inc., Countywide.

RECOMMENDATIONS:
APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute on behalf of the Public Works Director, a purchase order with Air Products Group, Inc. in an amount not to exceed $300,000 for heating, ventilation, and air conditioning filtration components for the period of March 1, 2024 through February 28, 2025, Countywide.
FISCAL IMPACT:
Facilities Maintenance Budget. (100% General Fund)
BACKGROUND:
Facilities Services maintains all County buildings, including hospitals, clinics, detention centers, and congregate care facilities. Heating, ventilation, and air conditioning filtration is part of this maintenance, and these products ensure the air filtration systems are performing at their optimum level. Each building maintained by Facilities Services uses several types and sizes of air filters, each designed for specific purposes (e.g., pollen removal, biohazard, prevention, etc.).
Facilities Services was previously awarded a blanket purchase order with Air Products Group, Inc. on March 15, 2022 with effective dates March 8, 2022 through February 28, 2024 totaling $550,000.
This request is for a one-year purchase order for the term March 1, 2024 through February 28, 2025. A one-year purchase order is needed so that Facilities Services has enough time to work with the Purchasing Division to complete a formal solicitation process. The purchase order will be used as needed, with no minimum amount per order that must be used.
CONSEQUENCE OF NEGATIVE ACTION:
If this purchase order is not approved, then purchasing through Air Products Group, Inc. for heating, ventilation, and air conditioning filtration will be discontinued, negatively impacting the quality of County air filtration systems.
