RECOMMENDATIONS:
APPROVE and AUTHORIZE the Purchasing Agent, on behalf of the Chief Information Officer, to execute a purchase order with MedTel Services, LLC., subject to the terms of MedTel's Customer Support Agreement, in an amount not to exceed $93,000 for annual maintenance for Harris and Teltronics phone systems for the period of July 1, 2025, through June 30, 2026.
FISCAL IMPACT:
The cost of this product is included in the Department's FY 25-26 budget. 100% User Departments.
BACKGROUND:
MedTel Services, LLC. (the successor to Teltronics Inc.) provides comprehensive annual maintenance for the County's Harris and Teltronics 20-20 switches and phone systems. The annual maintenance package includes a range of services such as hardware maintenance, remote and on-site technical support, software updates to ensure optimal performance and security of the phone systems, support for specific software modules or applications, and troubleshooting for any issues that arise. These services are designed to help the County maintain smooth operations of its Harris and Teltronics phone switches, ensuring the reliability and efficiency of its technology infrastructure.
The Department of Information Technology's Telecommunications division is currently transitioning all County users from Harris and Teltronics phones to Cisco Voice over Ip (CoIP) unified communications platform. However, as this migration continues, ongoing maintenance and support for the existing Harris and Teltronics systems remains essential.
MedTel's Customer Support agreement includes a limitation of liability, restricting MedTel's responsibility to the amount the County paid for the service and/or products involved in the event or issue that caused the damage. This purchase is being made ...
