Report Title: Purchase Orders for Heating, Ventilation, and Air Conditioning (HVAC) Filtration Products and Acoustic Ceiling Tiles, Countywide.

RECOMMENDATIONS:
APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute, on behalf of the Public Works Director, individual purchase orders with: Air Filter/Control and Air Products Group, Inc., in an amount not to exceed $1,000,000 for each purchase order, to supply heating, ventilation, and air conditioning (HVAC) filtration products and acoustic ceiling tiles on an as-needed basis, for the period June 9, 2026 through June 8, 2029, Countywide.
FISCAL IMPACT:
Facilities Maintenance Budget. (100% General Fund)
BACKGROUND:
The Public Works Department, Facilities Services Division, is responsible for maintaining all County buildings, including hospitals, clinics, detention centers, and congregate care facilities. HVAC filtration is included in this required maintenance. Each building maintained uses several types and sizes of air filters, each designed for specific purposes (e.g. pollen removal, biohazard prevention, standard filtration, etc.).
A formal solicitation process for HVAC filtration products and ceiling tiles was recently conducted via Bidnet Direct, RFP # 0000000198, with due date April 7, 2026. After thorough review of the bids received, two vendors were selected, Air Filter/Control and Air Products Group, Inc. These vendors can provide HVAC filtration products and ceiling tiles and all related items as needed.
Facilities Services is requesting approval for three-year purchase orders with Air Filter/Control and Air Products Group, Inc. for the term June 9, 2026 through June 8, 2029, in the amount of $1,000,000 each.
