Report Title:                     Contract with Metropolitan Van and Storage Inc. for Elections Logistical Support

Recommendation of the County Administrator Recommendation of Board Committee

RECOMMENDATIONS:

APPROVE and AUTHORIZE the Clerk-Recorder, or designee, to execute a contract with Metropolitan Van and Storage Inc. for the storage and transportation of elections materials, in an amount not to exceed $800,000 over the agreement’s term from January 1, 2026, through December 31, 2028.

FISCAL IMPACT:

100% General Fund. A portion of these costs will be reimbursed by districts and municipalities that participate in consolidated elections conducted by the Clerk-Recorder.

BACKGROUND:

The Department provides in-person voting services for all major elections, this requires the logistical capacity to store and deploy equipment and materials for upwards of 150 polling places throughout the County. Metropolitan Van and Storage Inc. will provide services for timely and secure transportation to locations throughout the County, safe storage of election equipment, and destruction of materials as requested by the Department.

CONSEQUENCE OF NEGATIVE ACTION:

The Department would lack the capacity to reliably coordinate polling place deployment, which could make the County liable for noncompliance with federal and state requirements to provide in-person voting opportunities.
