Report Title: Execute a Contract with ROK Technologies

RECOMMENDATIONS:
APPROVE and AUTHORIZE the Chief Information Officer, or designee, to execute a contract amendment and extension for with ROK Technologies to increase the payment limit by $780,000 to a new payment limit of $1,165,000 and extend the term through June 30, 2029, to create and configure a cloud deployment and implementation for our Geographic Information Systems ESRI software within our Public Works department and for ongoing cloud monitoring services.
FISCAL IMPACT:
The cost of this product is included in the department's FY 25-26 budget (100% User Departments).
BACKGROUND:
The Department of Information Technology (DoIT) is committed to keeping technology current in order to effectively manage and maintain County systems across supported hardware and software platforms. Geographic Information Systems (GIS) software supports data collection and visualization, spatial analysis, public engagement, and the generation of new insights into the communities the County serves. GIS is also a critical tool used within the County Emergency Operations Center.
This amendment expands the agreement to include the County's Public Works Department and provides for the continued cloud monitoring of County departments.
ROK Technologies was selected through a Request for Proposal (RFP) process several years ago. Since that time, the County's entire GIS infrastructure has been migrated to and is managed within ROK's managed cloud environment, a process that took several years to complete.
The Master Services Agreement includes a limitation of liability capping ROK's liability at the amount of fees paid under the Agreement, and an indemnification from the County to ROK.
