RECOMMENDATIONS:
APPROVE and AUTHORIZE the Purchasing Agent, on behalf of the Chief Information Officer, to execute a purchase order with MedTel Services, LLC (MedTel), subject to the terms of MedTel's Customer Support Agreement, in an amount not to exceed $90,000 to renew annual maintenance for the County's Harris and Teltronics phone systems for the period of July 1, 2024, through June 30, 2025.

FISCAL IMPACT:
The cost is charged to the user department. 100% User Departments.

BACKGROUND:
MedTel Services, LLC (as successor to Teltronics Inc.) provides comprehensive annual maintenance services for the County's Harris and Teltronics 20-20 switches and phone systems. The annual maintenance package encompasses a range of services such as hardware maintenance, remote and on-site technical support, software updates to ensure optimal performance and security of the phone systems, support for specific software modules or applications, and troubleshooting/resolution for any issues that may arise. These maintenance and support services are designed to help the County maintain seamless operations of its Harris and Teltronics phone switches and systems and ensure reliability and efficiency of its technology infrastructure.
The Department of Information Technology's Telecommunications division is currently in the process of transitioning all County users from Harris and Teltronics phones to a Cisco Voice over IP (VoIP) unified communications platform. However, as this migration progresses, ongoing maintenance and support services are still necessary for the existing Harris and Teltronics systems.
