RECOMMENDATIONS:

APPROVE and AUTHORIZE the Purchasing Agent to execute, on behalf of the County Librarian, a purchase order, with Volunteer Software, Inc., subject to the terms of Volunteer’s License and Warranty, in an amount not to exceed $2,580 for the renewal of Web Assistant software subscription and software upgrades, for the period May 21, 2024, through May 21, 2027.

 

FISCAL IMPACT:

100% Library Fund.

 

BACKGROUND:

The Library Department has and continues to use Volunteer Software, Inc’s web assistant software to keep records of current and former library volunteers and track their total hours served as volunteers in all the branches. The database also allows the Library to keep statistics and provide reports of volunteer numbers and the hours spent volunteering.

 

The Terms and Conditions of the purchase order include limitation of liability provisions, approved by County Counsel.

 

CONSEQUENCE OF NEGATIVE ACTION:

If the Purchase Order is not approved, the Contra Costa County Library will not be able to record volunteer hours and provide reports as needed.
