RECOMMENDATIONS:

APPROVE and AUTHORIZE the Purchasing Agent to execute, on behalf of the County Librarian, a purchase order with M. G. West Company., subject to the terms of their proposal, in an amount not to exceed $31,441 for the purchase of a Zoom Booth for the San Ramon library.

 

FISCAL IMPACT:

100% Library Fund.

 

BACKGROUND:

In 2024 the Library convened a Remote Work Task Team to assess community needs related to remote workspaces. The team conducted research, community surveys, and a review of practices at other library systems. Findings showed that the Library’s current spaces do not consistently meet the community’s growing demand for remote and private work areas. The need is especially strong in Lafayette and San Ramon, where existing facilities lack sufficient private study and workspaces. Installing Zoom Booths at these two locations will address this unmet need and expand the Library’s capacity to support remote workers and students. These rooms will adhere to the library’s standard study room guidelines, which typically allow for reservations on a same day, first-come first-served, in-person basis, and can only be made for up to 2-hours daily.

 

 

The terms and conditions include limitation of liability language which was reviewed by County Counsel.

 

CONSEQUENCE OF NEGATIVE ACTION:

If the Purchase Order is not approved, the Contra Costa County Library will not be able to provide patrons with the needed space for remote and private work areas.
