RECOMMENDATIONS:

APPROVE and AUTHORIZE the Purchasing Agent to execute, on behalf of the County Librarian, a purchase order amendment with Bridgeall Libraries Limited, a subsidiary of Baker & Taylor, LLC, to reduce the term from January 22, 2029 to January 22, 2026 and decrease the payment limit by $102,744 to a new payment limit of $34,248, to provide library materials.

 

FISCAL IMPACT:

100% Library Fund

 

BACKGROUND:

On December 3, 2024, the Board of Supervisors approved a four-year purchase order effective January 22, 2025 through January 22, 2029, with Bridgeall Libraries Limited, a subsidiary of Baker & Taylor, LLC, in an amount not to exceed $136,922 for library materials. The Library respectfully requests to amend the Purchase Order to be effective January 22, 2025 through January 22, 2026, and to reduce the payment limit by $102,744 to a new payment limit of $34,248 due to Baker & Taylor, LLC closing its business and the company’s inability to fulfill services.

 

CONSEQUENCE OF NEGATIVE ACTION:

If the reduction of the Purchase Order is not approved, the Purchase Order in the amount of $136,992 will remain open until January 22, 2029, which creates contractual ambiguity and would not comply with County procedures.
