RECOMMENDATIONS:

 

APPROVE and AUTHORIZE the Purchasing Agent, on behalf of the Chief Probation Officer, to execute a purchase order, containing modified indemnification with Muck Rack in an amount not to exceed $23,000 for a media monitoring subscription for the period of May 1, 2024 through April 30, 2025.

 

FISCAL IMPACT:

 

100% General Fund

 

BACKGROUND:

 

Probation hired a Department Community and Media Relations Coordinator to handle all requests for information, check news reports, and provide a consistent, professional response to all requests.  To do this effectively, staff researched available options and found that Muck Rack would offer the best range of information for our department.  The subscription will monitor for mention of the department across multiple media sources and types and assist in the creation of reports based on the data collected. The terms of the purchasing agreement contains modified indemnification language.

 

Approval of this request supports the Department’s responsiveness and productivity with its press releases and social media accounts, as well as communications with the many community groups and committees that Probation is partnered with.

 

 

CONSEQUENCE OF NEGATIVE ACTION:

 

Without the subscription, staff will spend a substantial amount of time searching media and have less time dedicated to other critical job duties.
