Report Title: Purchase Order with R-Computer for Pointnext Tech Care Essential Service

RECOMMENDATIONS:
APPROVE and AUTHORIZE the Purchasing Agent, on behalf of the Clerk-Recorder, to execute a purchase order with R-Computer in an amount not to exceed $17,940 to provide Pointnext Tech Care Essential Service which supports the Clerk-Recorder Information Management System server, for the period of June 7, 2026, through to June 8, 2028.
FISCAL IMPACT:
The total purchase of $17,940 will not have any impact on the General Fund as it will be funded 100% by the Department’s Recorder Micrographics/Modernization Fund.
BACKGROUND:
The Clerk-Recorder Division requires the purchase of this warranty support coverage for the production server hosting the Clerk-Recorder Information Management System applications and database.
The Terms and Conditions for the HPE Pointnext Tech Care contain a Limitation of Liability clause that states HP’s liability is capped at the amount paid for the service, neither HP nor the County can claim indirect or consequential damages, and HP is not responsible for delays or failures outside its control.
CONSEQUENCE OF NEGATIVE ACTION:
The Department will not have warranty coverage on its Clerk-Recorder Information Management System servers in case of defect, breakage, or failure, which could result in the inability to backup data on the Clerk-Recorder servers.
