Report Title:                     APPROVE a Purchase Order with Commerce Printing Services

RECOMMENDATIONS:

 

APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute on behalf of the Public Works Director, a purchase order with Commerce Printing Services in the amount of $500,000 for miscellaneous printing services, effective July 1, 2026 through June 30, 2031, as per bid # RFP_F-Contr-0000000199, Countywide.

 

FISCAL IMPACT:

 

The cost is initially charged to the General Fund but recovered through charges to the County Departments. (100% User Departments)

 

BACKGROUND:

 

Commerce Printing Services is a long-established, California-based vendor that specializes in large-scale commercial and wide-format printing, specialty finishing services, and mailing services. While Print & Mail is equipped to handle the bulk of departmental printing requests, there are instances when requested work exceeds our in-house capabilities due to current equipment limitations. Commerce Printing Services will serve as an extension of County operations to ensure timely print order fulfillment and consistent high-quality production standards.

 

CONSEQUENCE OF NEGATIVE ACTION:

 

If this purchase order is not approved, Print & Mail will be unable to fulfill certain large-scale and specialty printing requests for County departments. This reduction in services will result in a marked increase in departmental print expenses as they will need outside fulfillment to meet their needs.
