To:                                          Board of Supervisors

From:                                          David O. Livingston, Sheriff-Coroner

Report Title:                      45 Drives USA, Inc.

Recommendation: Recommendation of a Board Committee

RECOMMENDATIONS:

APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute on behalf of the Sheriff-Coroner, a purchase order with 45 Drives USA, Inc., in an amount not to exceed $130,000 for the acquisition of one server and one storage array as backup system hardware, subject to 45 Drives’ terms and conditions.

FISCAL IMPACT:

Approval of this request will result in a one-time expenditure not to exceed $130,000 and will be funded 100% by the department’s existing General Fund allocation.

BACKGROUND:

The Sheriff’s Office backup system has reached end of life and is not compatible with newer infrastructure.  The backup systems provide a critical part of our IT resiliency plan and are critical to the department.

The 45Drives solution was chosen due to cost competitiveness and established partnership with Veeam to provide hardware for a Veeam Server and Veeam Hardened Repository.

45 Drives’ terms and conditions include an indemnification provision from the County to 45 Drives for any claims related to the County’s use of the products.

CONSEQUENCE OF NEGATIVE ACTION:

If the Board does not approve, critical IT services will not be backed up, if there is a cyber incident or hardware failure the Sheriff’s Office IT will not be able to restore services in a timely manner which will impact Sheriff’s Office operations.  This could result in possible agency downtime that would affect multiple entities within the county, including other police departments and first responders.
