Report Title:                     APPROVE a Contract with CompuMail Information Services Inc.

RECOMMENDATIONS:

 

APPROVE and AUTHORIZE the Public Works Director, or designee, to execute a contract with CompuMail Information Services Inc. in an amount not to exceed $250,000 for presort mail processing services, for the period June 10, 2025 through June 9, 2030, Countywide (100% User Departments)

 

FISCAL IMPACT:

 

Contract costs are paid through charges to County Departments.

 

BACKGROUND:

 

Public Works Print & Mail Services coordinated with Purchasing Services to post bid #RFP_F-Contr-00000000037 and selected CompuMail Information Services Inc. to provide presort mail processing services. CompuMail is a long-established local vendor specializing in providing clients with comprehensive solutions in mailing services and communications, document and data processing, and printing. Print & Mail Services currently utilizes CompuMail’s mail processing services to barcode, presort, and deliver County metered mail to USPS.

 

Print & Mail does not have machinery for the daily processing of presort USPS mail. CompuMail is an invaluable resource for the division as Print & Mail processes on average 9,000 pieces of County presort mail daily. This contract allows for the timely and accurate processing of County metered mail at a discounted postage rate through the USPS work-share program.

 

CONSEQUENCE OF NEGATIVE ACTION:

 

If this contract is not approved, Print & Mail will be required to meter all County mail as First-Class Mail, costing the departments an additional ten cents per mail piece.
