Report Title:                      Purchase Order with BMI Imaging Systems, Inc. for the Library’s Digitized Documents through July 31, 2029

Recommendation: Recommendation of the County Administrator

 

RECOMMENDATIONS:

RATIFY the Purchasing Agent’s execution of, on behalf of the County Librarian, a purchase order with BMI Imaging Systems, Inc., subject to the terms of their BMI Hosting and Licensing Terms & EULA, Inc., in an amount not to exceed $6,300 for the web hosting of Library digitized documents from August 1, 2026, through July 31, 2029.

 

FISCAL IMPACT:

100% Library Fund

 

BACKGROUND:

The Library offers patrons digital access to historical documents, including local newspapers. BMI scans historical documents and hosts them digitally, allowing the library to provide patrons with digital access to local and historical documents.

 

The terms and conditions include a warranty disclaimer which has been reviewed by County Counsel.

 

This Purchase Order is entered into under and subject to the following legal authority, California Government Code § 31000.

 

The request for ratification is being brought forward caused by the quote for services being obtained later than anticipated, necessitating Board approval at this time.

 

CONSEQUENCE OF NEGATIVE ACTION:

If the Purchase Order is not approved, the Contra Costa County Library will not be able to provide patrons with digital access to these local and historical documents.
