RECOMMENDATIONS:
Acting as the governing board of the Contra Costa County Fire Protection District, APPROVE and AUTHORIZE the Fire Chief, or designee, to execute a contract with MedTel Services, LLC in an amount not to exceed $97,500, subject to the terms of Medtel’s Customer Support Agreement, for annual maintenance on business phone software systems, for the period July 1, 2025 through June 30, 2028.
FISCAL IMPACT:
Budgeted. 100% CCCFPD General Operating Fund
BACKGROUND:
MedTel Services, LLC (the successor to Teltronics Inc.) provides comprehensive annual maintenance for the Fire District’s switches and phone systems. The maintenance package includes hardware maintenance, remote and on-site technical support, software updates for optimal performance and security, support for specific software modules, and troubleshooting for any issues. These services help the Fire District maintain smooth operations of its technology infrastructure.
MedTel’s Customer Support agreement includes a limitation of liability, restricting MedTel’s responsibility to the amount the Fire District paid for the service and/or products involved in any damage event. This purchase is made through a sole source procurement for standardization and continuity of support services.
CONSEQUENCE OF NEGATIVE ACTION:
If this Agreement is not approved, CCCFPD would lose its phone systems, which could lead to downtime, reduced performance, and potential compliance risks.
