Report Title:                     Contract with 37signals LLC for Project Management Software

Recommendation of the County Administrator Recommendation of Board Committee

RECOMMENDATIONS:

APPROVE and AUTHORIZE the Fire Chief, or designee, to execute a contract with 37signals LLC, in an amount not to exceed $20,000 to provide project management software for the Fire District for the period October 1, 2025 through September 30, 2028.

FISCAL IMPACT:

100% CCCFPD General Operating Fund.

BACKGROUND:

The Fire District’s Training Division currently utilizes Basecamp, a project management software developed by 37signals LLC, to organize and manage a high volume of training projects and monitor the training and documentation for probationary employees. Initially implemented in its free version, the software has proven to be an effective and valuable tool for enhancing coordination and productivity within the division.

Due to its demonstrated benefits, the Training Division is recommending the expansion of Basecamp for use District-wide. The platform enables the creation of project boards, task assignment, and progress tracking, and is particularly well-suited for managing multi-divisional initiatives. Key features include deliverables tracking, task lists, integrated timelines, and collaboration tools that support efficient project execution across teams.

This agreement includes limitation of liability language.

CONSEQUENCE OF NEGATIVE ACTION:

If this agreement is not approved, the Fire District will be unable to fully leverage the project management software to enhance collaboration and coordination across divisions.
