Report Title:                     Contract Amendment for the 2025 On-Call Trucking Services Contract for Aggregate Stockpiling and Transportation, Countywide.

RECOMMENDATIONS:

APPROVE and AUTHORIZE the Public Works Director, or designee, to execute a contract amendment with USA Trucking, Inc, Mitchell’s Transport, LLC, and CB Roadways, Inc., to extend the term through June 9, 2027, for on-call trucking services to support road chip seal surface treatment work, with no change in the payment limit, Countywide.

 

FISCAL IMPACT:

No fiscal impact.

 

BACKGROUND:

On June 10, 2025, the County awarded four (4) on-call contracts for trucking services to stockpile and transport chip seal aggregate that will be used for the Public Works Department’s chip seal program.  One bidder, Rapid Trans, LLC, never submitted the proper paperwork to execute the contract.  Contracts were executed with the remaining bidders, USA Trucking, Inc, Mitchell’s Transport, LLC, and CB Roadways, Inc. The contracts have a term of one year, with the option of two (2) one-year extensions.

 

To retain the services of, and to ensure timely payment to, USA Trucking, Inc, Mitchell’s Transport, LLC, and CB Roadways, Inc., the Public Works Director recommends that the Board approve Contract Amendment No. 1. This amendment will extend the term of the contracts through June 9, 2027, with no change to the maximum payment limit.

 

CONSEQUENCE OF NEGATIVE ACTION:

Failure to approve the contract amendment will prevent the Public Works Department from completing routine and emergency road maintenance work in a timely manner.
