RECOMMENDATIONS:
APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute an agreement on behalf of the County with CivicPlus, LLC, in an amount not to exceed $7,547.40 to provide archiving services to preserve social media records with ArchiveSocial software from July 1, 2024 through June 30, 2025.
FISCAL IMPACT:
Approval of this contract will result in annual contractual service expenditures up to $7,547.40 and will be funded by 100% cable franchise fees. (100% FRANCHISE FEES).
BACKGROUND:
CivicPlus, LLC provides ArchiveSocial software, which captures and archives records from County social media platforms to assist with online records compliance and accurate context preservation to ensure authenticity with timestamps and metadata. This agreement includes mutual indemnification and limited liability language to hold harmless both parties for any claims arising out of the performance of this contract.
CONSEQUENCE OF NEGATIVE ACTION:
If not approved, County social media platforms could be at risk of compliance issues when responding to records requests.
