RECOMMENDATIONS:

APPROVE and AUTHORIZE the Employment and Human Services Director, or designee, to execute a contract amendment no. 2 with General Datatech, LP, to increase the payment limit by $120,828 to a new payment limit not to exceed $486,508 to purchase additional services for the cloud-based ServiceNow Information Technology Help Desk Management System and to extend term through December 31, 2025.

FISCAL IMPACT:

$120,828; 54% Federal, 38% State, 8% General County Funds, which will be budgeted in FY 25-26.

BACKGROUND:

On January 10, 2023, the Board of Supervisors approved a contract with General Datatech, LP in the amount not to exceed $293,315 to purchase services and licenses for the cloud-based ServiceNow's IT Service Management system to replace an antiquated Help Desk Ticketing system. ServiceNow is considered best in class and is in use by government agencies like the Department of Defense and the Department of Justice. ServiceNow is also the help desk provider for the California Statewide Automated Welfare System (CalSAWS).

On January 16, 2024, the Board of Supervisors approved an amendment to increase the contract amount by $72,362 to purchase additional professional services to provide integration with CalSAWS. Due to the complex nature of CalSAWS, additional professional services are needed to fully integrate CalSAWS and the help desk. Approval of this action will allow the contractor to provide these additional services.

CHILDREN'S IMPACT STATEMENT:

The agreement supports the third community outcome established in the Children's Report Card, "Families that are Economically Self Sufficient".
