RECOMMENDATIONS:
APPROVE appropriation adjustment Amendment ID BDA-26-01079, authorizing new revenue in the amount of $240,000 from Fund 114200 (Sheriff Forfeiture-Fed-DOJ) Org 0252 and appropriating $60,000 to Fund 100300 (General Fund) Org 2535 Sheriff Investigation for the purchase of one (1) dedicated forensic evidence storage server for the Office of the Sheriff High Tech Crimes Unit (HTCU)

FISCAL IMPACT:
This action increases revenue and appropriations by $60,000 in the Sheriff’s Office General Fund department and is funded 100% by Fund 114200 Sheriff Forfeiture-Fed-DOJ Fund.

BACKGROUND:
The Office of the Sheriff High Tech Crimes Unit has exhausted the capacity of its primary evidence storage system, and its individual overflow drives are nearly full. The existing storage system reached capacity in approximately 18 months. At least six drives containing forensic case data have failed or become corrupted in recent years, resulting in recovery efforts and investigative delays. Some forensic extractions cannot be reproduced, creating a risk of permanent evidence loss and an inability to satisfy prosecution or discovery requests. The proposed server would retain older case data while the existing system supports active examinations. It would be located in an Office of the Sheriff IT server room, with HTCU-restricted access, drive-failure protection, and capacity for future expansion. Sheriff’s Office IT reviewed five vendor responses and recommended 45-Drives based on price, support, and expansion flexibility.
