Report Title:                     Contract Amendment for the 2024 On-Call Grinding Services Contract for Various Road Maintenance Work, Countywide.

Recommendation of the County Administrator Recommendation of Board Committee

RECOMMENDATIONS:

APPROVE and AUTHORIZE the Public Works Director, or designee, to execute individual contract amendments with Anrak Corporation and Pavement Recycling Systems, Inc., to extend the term through May 20, 2026, and increase the payment limit by $200,000, to a new payment limit of $400,000 for each contract, to continue providing pavement grinding services for various road maintenance work, Countywide.

FISCAL IMPACT:

100% Local Road Funds.

BACKGROUND:

On May 21, 2024, the County awarded two (2) on-call pavement grinding services contracts to supplement Public Works Maintenance crews during routine and emergency road maintenance work.  A $200,000 contract was awarded to each of the following contractors: Anrak Corporation and Pavement Recycling Systems, Inc.  The contracts have a term of one year, with the option of two one-year extensions.

To retain the services of, and to ensure timely payment to, Anrak Corporation and Pavement Recycling Systems, Inc, the Public Works Director recommends that the Board approve Contract Amendment No. 1. This amendment will extend the term of the contracts through May 20, 2026, and will also increase the payment limit for both contracts by $200,000 to a new payment limit of $400,000.

CONSEQUENCE OF NEGATIVE ACTION:

Failure to approve the contract amendment will prevent the Public Works Department from completing routine and emergency road maintenance work in a timely manner.
