Recommendation of the County Administrator Recommendation of Board Committee

 

RECOMMENDATIONS:

APPROVE and AUTHORIZE the Sheriff-Coroner, or designee, to execute a contract amendment with The Act 1 Group, Inc d/b/a ATIMS to migrate its jail management system from  County servers to vendor’s cloud-based system with no change in the payment limit of $1,302,404 or contract term through February 25, 2028.

 

 

FISCAL IMPACT:

Approval of this request will have no additional impact on County Funds. The original contract payment limit is $1,302,404.

 

 

BACKGROUND:

The County is currently contracted with The Act 1 Group, Inc dba ATIMS to provide the Office of the Sheriff with a jail management system for the detention facilities. The County hosts the system on a physical server on premises. Currently, the County updates and handles the upkeep of the server and backup server and is the first initial call during any system issues. This amendment will allow ATIMS to host their software system on a cloud-based environment rather than on a physical server on premises. There will be no change to the payment limit or term of the contract, which is effective from October 1, 2025 through February 25, 2028.

 

 

CONSEQUENCE OF NEGATIVE ACTION:

If the Board does not approve, the County will have to continue to host the software on premises and provide all initial tech support. This means that any repairs, replacement of equipment and all upgrades will be made at the cost of the County. All overtime calls, on-call pay, etc. for initial assessment of any issues will also be at the cost of the County.
