RECOMMENDATIONS:
APPROVE and AUTHORIZE the Purchasing Agent, on behalf of the Chief Information Officer, to execute a purchase order with Ricoh USA, Inc. in an amount not to exceed $105,000 for renewal of Ricoh ProcessDirector Software Maintenance to provide mainframe print management for the period of December 3, 2024, through December 2, 2027.

FISCAL IMPACT:
The cost for this purchase will be covered within the Department's budget for FY 24-25. 100% User Departments.

BACKGROUND:
The Department of Information Technology's Enterprise Application and Operations division utilizes Ricoh ProcessDirector Software for managing the mainframe print job workflow. Ricoh ProcessDirector was selected for its distinct and superior performance factors that are crucial for mainframe printing operations. The key unique performance factors of Ricoh ProcessDirector include:

2. Advanced Workflow Automation
3. Robust Error Handling and Recovery
4. Comprehensive Print Management
5. Enhanced Security Features
6. Scalability and Flexibility
7. High Reliability

These specific factors are required to provide a comprehensive mainframe print management solution that meets the stringent needs of the County. The mainframe print jobs are a critical function the County performs and includes the workflow process to generate tax bills. Ricoh is a sole-source provider for the specific functions and services it offers the County.

Ricoh's Software Maintenance Agreement contains a limitation of Ricoh's liability to the greater of the total amounts paid and payable by the County of the software maintenance or $100 dollars.
