RECOMMENDATIONS:

APPROVE and AUTHORIZE the Chief Information Officer, or designee, to execute a contract with AT&T Enterprises, LLC in an amount not to exceed $490,000 to provide professional services to install video conferencing within Health Services Department conference rooms and to provide maintenance for the video equipment for the period of March 17, 2026, through March 16, 2029.

FISCAL IMPACT:

The cost of this contract will be charged to Health Services Department Enterprise Fund I.

BACKGROUND:

The Health Services Department has requested assistance from the Department of Information Technology (DoIT) to facilitate Phase IV of an upgrade to the video conferencing platforms in approximately fourteen (14) conference rooms located in seven (7) Health Services worksite locations. AT&T, through its subcontractor, Interactive Digital Solutions (IDS) LLC, will provide the equipment, the professional services to install the equipment, and a three (3) year maintenance agreement on the equipment.

The upgrade of the video conferencing platforms was initiated to support virtual meetings in response to social distancing requirements during the pandemic. In December 2020, DoIT contacted four audio-visual vendors, including IDS, to obtain information on systems that could be implemented Countywide to facilitate effective virtual face-to-face communication. This project represents Phase IV of the overall initiative to modernize and standardize video conferencing capabilities across the County, and Health Services requested to continue with the selected vendor for this phase to ensure continuity in system design, functionality, and user experience, as well as consistency with previously implemented solutions.
