RECOMMENDATIONS:
APPROVE and AUTHORIZE the Auditor-Controller, or designee, on behalf of the Health Services Director, to pay $1,232 to Innovative Product Achievements, LLC for hospital scrub dispenser repair services provided on December 15, 2023.
FISCAL IMPACT:
Approval of this action will result in a one-time expenditure in an amount not to exceed $1,232 and will be funded by Hospital Enterprise Fund I revenues.
BACKGROUND:
Innovative Product Achievements, LLC also know as IPA, LLC produces the ScrubEx machine dispensers that ensure medical personnel have access to scrubs, 24/7, in the critical care units of the hospital. The availability of clean, sterilized scrubs is essential for patient and staff safety, quality of care, infection control and meets regulatory requirements established by OSHA, CDPH and The Joint Commission.
In September 2022, Contra Costa Regional Medical Center (CCRMC) renewed the existing purchase order for the IPA ScrubEx machine lease for an additional three years. However, the preventative maintenance services portion of the agreement expired after the first year, on September 30, 2023. Department staff were not initially aware that the warranty did not extend for the full three years until repair services were required later in 2023. An emergency purchase order was originally requested for this payment, but with the implementation of Administrative Bulletin 600.3, it was denied. A contract for the preventive maintenance services is currently in process for future maintenance needs but will not cover the December 2023 invoice.
CONSEQUENCE OF NEGATIVE ACTION:
