Report Title:                     Contract Amendment for the 2023 On-Call Trucking Services Contract for Aggregate Stockpiling and Transportation, Countywide

Recommendation of the County Administrator Recommendation of Board Committee

RECOMMENDATIONS:

APPROVE and AUTHORIZE the Public Works Director, or designee, to execute a contract amendment with Dillard Trucking, Inc. and C&J Favalora Trucking, Inc., to extend the term through June 26, 2025, for each contract, for on-call trucking services to support road chip seal surface treatment work, with no change in the payment limit, Countywide.

FISCAL IMPACT:

No fiscal impact.

BACKGROUND:

On June 27, 2023, the County awarded three (3) on-call contracts for trucking services to stockpile and transport chip seal aggregate that will be used for the Public Works Department’s chip seal program. One bidder, LS Trucking, Inc., withdrew their bid on August 21, 2023; no contract was executed with them. Contracts were executed with the remaining bidders, Dillard Trucking, Inc. and C&J Favalora Trucking, Inc. The contracts have a term of one year, with the option of two (2) one-year extensions.

To regain the services of and to enable timely payment to Dillard Trucking, Inc. and C&J Favalora Trucking, Inc., the Public Works Director recommends that the Board approve Contract Amendment No. 1. This amendment will extend the term of the contracts through June 26, 2025, with no change to the maximum payment limit.

CONSEQUENCE OF NEGATIVE ACTION:

Failure to approve the contract amendment may prevent the Public Works Department from completing chip seal operations.
