RECOMMENDATIONS:

APPROVE and AUTHORIZE the Chief Information Officer, or designee, to execute a contract with EIDIM Group, Inc., in an amount not to exceed $850,000 to provide countywide Audio/Visual (A/V) services and support for the period of Aug 15, 2025, through August 14, 2028.

 

FISCAL IMPACT:

The cost of this product is included in the Department’s FY 25-26 budget. 100% User Departments.

 

BACKGROUND:

The Department of Information Technology (DoIT) provides centralized support for Audio/Visual (A/V) systems used in the Board of Supervisors Chamber, County conference rooms, and other administrative facilities. To ensure consistent system reliability, responsive technical support, and proactive maintenance, DoIT issued a Request for Proposals (RFP) to secure a qualified vendor for countywide A/V services.

 

EIDIM Group was selected through a competitive RFP process based on its experience, technical expertise, and cost-effective service model. Under this agreement, EIDIM will provide preventative and corrective maintenance, warranty support coordination, onsite technical support for scheduled Board meetings and special events, remote access configuration, and comprehensive site surveys of County A/V systems. The contractor will also deliver customer service under a Platinum Service Level, which includes rapid response times, same-day support, and dedicated project coordination to ensure high service quality and continuity.

 

CONSEQUENCE OF NEGATIVE ACTION:

Failure to approve this contract may result in service disruptions to critical County A/V systems, inadequate technical support during Board meetings and public events, and delays in the modernization of outdated equipment across County facilities.
