RECOMMENDATIONS:

APPROVE and AUTHORIZE the Purchasing Agent to execute, on behalf of the County Librarian, a purchase order including modified limitation of liability and indemnification with Califa Group in an amount not to exceed $5,500 for the renewal of The Quipu Group LLC eCard subscription through Califa Group, for the period July 1, 2024, through June 30, 2025.

 

FISCAL IMPACT:

100% Library Fund.

 

BACKGROUND:

The Library Department has used and continues to use eCard, from The Quipu Group LLC, which allows Library patrons enjoy an intuitive library card registration experience. This subscription allows for customized registration forms and messaging, Library-specific service area determination, patron address verification and standardization, customized confirmation page and email, implementation of a second, multilingual registration form, branding to fit within the Library's website, and in-library registration option and customizations that adheres to the Library’s registration policies and the requirements of the Library’s integrated library system (CARL). The Quipu Group LLC offers libraries a deep discount through a group purchase made by Califa Group, the California Library Consortium, of which the Library Department is a member.

 

The terms and conditions include limitation of liability provisions and indemnification, approved by County Counsel.

 

CONSEQUENCE OF NEGATIVE ACTION:

If the Purchase Order is not approved, the Contra Costa County Library will not be able to provide patrons with the ability to register their library cards online and the Library the ability to manage patron renewals.
