RECOMMENDATIONS:

APPROVE and AUTHORIZE the Fire Chief, or designee, to execute a contract with a limitation of liability with Eaton Corporation, for an initial annual amount of $11,220 to provide non-concurrent onsite support services for the District’s Uninterrupted Power Supply for the initial term of March 23, 2024 through March 22, 2025 with the option of automatic annual renewals as outlined in the service agreement.

 

FISCAL IMPACT:

Budgeted.  100% District General Operating Fund.

 

BACKGROUND:

The Contra Costa Regional Fire Communications Center (CCRFCC) provides emergency medical, fire, and rescue dispatching and emergency communication services for the Contra Costa County Fire Protection District and other fire service agencies within Contra Costa County.  Eaton provides the District with 24/7 customer service, annual inspections, and software upgrades on Uninterrupted Power Supply (UPS) equipment to ensure the CCRFCC remains fully functional during power outages. In the event of power loss, the equipment provided by Eaton ensures uninterrupted power is available before backup generators are activated.

 

The District had two new UPS systems installed in 2021, both of which require regular maintenance. This agreement includes a provision for a limitation of liability for Eaton Corporation.  This contract starts with an initial annual contract value of $11,220 and automatically renews annually, incorporating automatic cost escalators as outlined in the service agreement.

 

CONSEQUENCE OF NEGATIVE ACTION:

Without this equipment and the corresponding service and maintenance provided by Eaton, the CCRFCC would be at risk of not being able to function in the event of power loss.
