Report Title: Purchase Order with CivicPlus, LLC

RECOMMENDATIONS:
APPROVE and AUTHORIZE the Purchasing Agent, on behalf of the Chief Information Officer, to execute a purchase order with CivicPlus, LLC, in an amount not to exceed $2,500 for the purchase of forms encryption implementation with a hosting and security subscription, subject to CivicPlus's Master Services Agreement, for the period of January 1, 2026, through June 30, 2026.
FISCAL IMPACT:
The cost of this product is included in the Department's FY 25-26 budget. 100% User Departments.
BACKGROUND:
CivicPlus, LLC delivers a comprehensive suite of services to the County, including:
1. Cloud hosting and Support for the Intranet Site: This service ensures the County's intranet site operated smoothly with robust security measures and disaster recovery capabilities, safeguarding the site's integrity and uptime.
2. AudioEye Software for Digital Accessibility: CivicPlus provides AudioEye, a powerful digital accessibility tool designed to automate the detection and remediation of common accessibility issues on the County website. The software offers continuous monitoring and trusted certification to ensure compliance with accessibility standards and enhance user experience for all visitors.
3. Website Hosting, Training, Security, and Support: CivicPlus also manages the hosting, security, and ongoing support of the County's public website, offering comprehensive training to ensure County staff can effectively utilize and maintain the site.
The Department of Information Technology recommends adding Forms Encryption to this suite of services to further enhance the protection of sensitive information submitted through County online forms.
