Report Title:                     Contract Amendment for the 2024 On-Call Grinding Services Contract for Various Road Maintenance Work, Countywide.

Recommendation of the County Administrator Recommendation of Board Committee

RECOMMENDATIONS:

APPROVE and AUTHORIZE the Public Works Director, or designee, to execute individual contract amendments with Anrak Corporation and Pavement Recycling Systems, Inc., to extend the term through May 20, 2027, with no change to the payment limit, for continued on-call grinding services for various road maintenance work, Countywide.

FISCAL IMPACT:

No fiscal impact.

BACKGROUND:

On May 21, 2024, the County awarded two (2) on-call grinding services contracts.  A $200,000 contract was awarded to each of the following contractors: Anrak Corporation and Pavement Recycling Systems, Inc.  The contracts have a term of one year, with the option of two one-year extensions.

On May 13, 2025, the Board of Supervisors approved Contract Amendment No. 1 for Anrak Corporation and Pavement Recycling Systems, Inc., extending the contract terms from May 20, 2025 through May 20, 2026 and increasing the payment limit from $200,000 to $400,000.

To retain the services of, and to ensure timely payment to, Anrak Corporation and Pavement Recycling Systems, Inc, the Public Works Director recommends that the Board approve Contract Amendment No. 2. This amendment will extend the term of the contracts through May 20, 2027. There are no changes to the maximum payment limits.

CONSEQUENCE OF NEGATIVE ACTION:

Failure to approve the contract amendment will prevent the Public Works Department from completing routine and emergency road maintenance work in a timely manner.
