RECOMMENDATIONS:

APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute on behalf of the Employment and Human Services Department, a purchase order with re-seller Carahsoft Technology Corp. for the purchase of Conga licenses, subject to the terms of the Conga Master Subscription Agreement, in an amount not to exceed $3,635 for the period July 10, 2024, through June 30, 2025.

FISCAL IMPACT:

$3,635 (59% Federal, 35% State, 6% County), all of which will be budgeted in FY 24-25.

BACKGROUND:

The Employment and Human Services Department (EHSD), Children and Family Services (CFS) bureau seeks to renew Conga licenses to operate with the Salesforce Customer Relationship Management System (CRM). This purchase enables CFS to manage all touch points and communications with vendors that supply services for County clients. This will help CFS better meet the needs of the clients they serve and provide efficient and effective communications with vendors contained in the CRM. The Main Subscription Agreement includes an indemnification clause from the County to Conga, as well as a limitation of liability on behalf of Conga in the amount paid for the licenses in the prior 12 months. This vendor was selected per procurement requirements outlined in Administrative Bulletin 600.3.
