Report Title: Purchase Order with Purchase Order with Total Communication Solutions for a Zoom Subscription through August 5, 2026

RECOMMENDATIONS:
APPROVE and AUTHORIZE the Purchasing Agent to execute, on behalf of the County Librarian, a purchase order with Total Communication Solutions, subject to the terms of their Master Services Agreement and the Zoom Reseller Customer Terms of Service, in an amount not to exceed $9,939.00 for the renewal of thirty-two (32) Enterprise Essentials licenses and one (1) Webinar 1000 license for the period August 5, 2025, through August 5, 2026.
FISCAL IMPACT:
100% Library Fund.
BACKGROUND:
Library Department has and continues to use Zoom licenses and software provided by Total Communication Solutions, to provide video conferencing functionality for meetings, conferences, public performances, and to conduct interviews.
The Terms and Conditions include Limitation of Liability and Indemnification provisions which were approved by County Counsel.
CONSEQUENCE OF NEGATIVE ACTION:
If the Purchase Order is not approved, the Contra Costa County Library’s IT operations will not be able to function as they have been, and library services to patrons will be impacted.
