Report Title: Increase in the existing Purchase Order with Asana Inc. to add twenty five (25) additional Enterprise Application Licenses

RECOMMENDATIONS:
APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute on behalf of the Chief Information Officer, an amendment to the existing Purchase Order with Asana Inc., to increase the payment limit from $78,000 to $88,000, to add twenty five (25) additional Enterprise Application Licenses, with no change to the existing term expiring December 31, 2026.
FISCAL IMPACT:
The cost of this product is included in the department's FY 26-27 budget (100% User Departments).
BACKGROUND:
The Department of Information Technology (DoIT) Enterprise Application uses Asana to collaborate and manage tasks more efficiently. The platform provides intuitive task management features that allow staff to create projects, assign tasks, set due dates, organize work across boards, and track progress in real time. The Department uses Asana to streamline workflows, improve communication, and enhance overall productivity through its flexible project views, integrations, customization options, and user-friendly interface.
The Department currently has a Purchase Order#33993 for 150 Asana Licenses, effective through December 30, 2026, and was originally approved by the Board on December 18, 2025. This amendment is to add an additional 25 licenses, bringing the total to 175 licenses.
The Terms & Policies under Asana's Public Entity Amendment to Asana Subscriber Terms (Amendment) contain a limitation of liability provision, whereby the County agrees to limit the liability of Asana for any breach of the agreement as modified by the Amendment to the total fees paid in 12 months prior to the claim arising.
